EMPLOYMENT OPPORTUNITY

JOB TITLE: EXECUTIVE SECRETARY

WORKPLACE: 95 rue de l’Ours, Wendake, QC G0A 4V0

DURATION: One-year contract (with the possibility of extension)

SALARY: A basic salary of $43,114 according to FNEC salary scale

START DATE:
October 4, 2010

WORK DESCRIPTION:
Under the immediate authority of the Director General, the Executive Secretary provides
complete administrative and technical support to the Management department in the direction and administrative organization of the FNEC. The Executive Secretary serves as liaison between Management and the administrative team; oversees the availability as well as the ongoing contacts of Management; provides technical support to Management when required to attend meetings and participate in activities or the work of various committees. The incumbent is also responsible for developing a communication and promotion plan, as per the objectives and themes set by Management and according to various events that are held, to draw the attention of and stir interest among decision-makers.

MAIN FUNCTIONS: Administrative activities:
• In collaboration with the coordinators, establish a preparation and coordination schedule
for the various files in each department; ensure that deadlines are met; ensure appropriate
follow-ups; compile, summarize and present the information obtained to Management.
• Organize and manage Management’s schedule (including meetings, committees and
interviews) and supervise travel expenses.
• Develop, prepare and ensure the quality of the material for presentation, various
management meetings, statistical or graphical reports, and other documents, in
collaboration with the documentation department as required.
• Conduct follow-up on management’s active files according to the instructions given and
conduct ongoing follow-up on all requests made by management.
Communication activities:
• In collaboration with an outsourced consultant, coordinate public and media events; make
necessary arrangements for interviews and press conferences.
• Collaborate in the writing of brochures, reports, information newsletters and other
promotional documents or tools.
• Write, revise and produce press releases, media kits and other tools.

REQUIREMENTS:
• University undergraduate program, namely one leading to a certificate or a Major in
business administration or communication, with a minimum of 30 credits OR a Diploma
of Collegial Studies (DCS) in business administration with an option in office
management or marketing, and have at least 5 years of experience in a similar position.
• Very good knowledge of one of the two official languages of Canada (English or
French), as a second language, for purposes of analyzing documents, orally or in writing
communicating complex information and intervening in various situations.
• Good knowledge of word processing, various software programs, spelling and grammar in both official languages (English and French).
• Good knowledge of the structure of the First Nations communities of Quebec.

WORKING CONDITIONS:
The position requires travel to places away from the office, including to remote places, up to a maximum of 6 to 12 times per year. Time spent travelling away from the office may exceed 48 hours.
